This policy explains what data we receive through valikhnovskamd.com, why, who has access to it and how you can control it.
1. Who is responsible for your data
The controller of personal data is Kateryna Hennadiivna Valikhnovska, MD, surgical oncologist.
Contacts for personal data matters: kgv.112@gmail.com, +380 50 235 85 87.
The website provides information about consultations and treatment. During treatment, medical records are kept by the healthcare facility where you are treated, under its own rules.
2. What data we receive
Data you provide yourself:
- your name and phone number — in the “Book a consultation”, “Request a call” and other website forms;
- medical documents — CT and MRI scans, reports, discharge summaries — if you send them for a consultation via a messenger, by email or as a file-sharing link;
- the content of your messages and calls, if you write or call.
Data collected automatically:
- technical visit data: IP address, device and browser type, pages viewed, referral source — via Google Analytics 4;
- data on visits from Google ads and on enquiries made after them — via Google Ads;
- data on calls to the numbers shown on the website: the calling number, time and duration of the call, and the page it was made from — via the Binotel call-tracking service, which also displays substitute phone numbers and a call-back widget on the website;
- cookies (see section 6).
We do not ask for a diagnosis or other medical information in the website forms. Please do not enter it there — documents have separate channels, described on the “Online Oncologist Consultation” page.
3. Why we use the data
- to contact you, answer your questions and book a consultation;
- to carry out the consultation, including online, and give an opinion on treatment;
- to provide follow-up after surgery, if you have agreed on one-year follow-up;
- to understand how the website and advertising work and to improve them (in anonymised, aggregated form).
We do not sell your data and do not use medical documents for advertising.
4. Legal grounds
- your consent — when you fill in a form, call or send documents;
- provision of medical care — the medical documents you send for a consultation are reviewed by a physician bound by medical confidentiality (Article 7 of the Law of Ukraine “On Personal Data Protection”; Article 40 of the Fundamentals of the Legislation of Ukraine on Healthcare);
- contract — for one-year follow-up, if a contract has been concluded.
5. Who else has access to the data
- Google (Google Analytics, Google Ads, Google Tag Manager) — technical visit data and data on visits from ads. Google also processes this data outside Ukraine, under its own policy: policies.google.com/privacy;
- Binotel — data on calls to the website’s numbers;
- messengers and email services (Telegram, Viber, Gmail and others you choose yourself) and file-sharing services — transmit your messages and files under their own rules;
- the website’s hosting provider — stores form submissions on its server;
- the team with whom the physician operates and discusses cases at the tumor board — only to the extent needed for your treatment;
- public authorities — only in cases expressly provided for by law.
6. Cookies
Cookies are small files that your browser stores on your device. The website uses:
- necessary cookies — for the website to work, including remembering the page language;
- analytics cookies — Google Analytics 4;
- advertising cookies — Google Ads (measuring advertising effectiveness and showing ads to people who have visited the website);
- call-tracking cookies — Binotel (to identify which page or ad a call came from).
You can delete or block cookies in your browser settings; the main information on the website will remain available. You can opt out of personalised Google ads at adssettings.google.com.
7. How long we keep data
- form submissions and call data — up to 24 months if you do not become a patient;
- medical documents and correspondence about treatment — for as long as the consultation, treatment and follow-up last, and thereafter for the periods set by the legislation on medical records;
- analytics data — according to the Google Analytics settings, no longer than 14 months.
After that, the data is deleted or anonymised.
8. How we protect data
Only the physician and people who need access for your treatment or for running the website can see form submissions and documents. The website uses a secure HTTPS connection.
9. Your rights
Under Article 8 of the Law of Ukraine “On Personal Data Protection”, you may:
- find out what data about you we process, why, and to whom we pass it;
- request correction of inaccurate data;
- withdraw your consent and request deletion of your data where there are no legal grounds to keep it;
- object to the processing;
- complain to the Ukrainian Parliament Commissioner for Human Rights or to a court.
To exercise your rights, write to kgv.112@gmail.com. We reply within 30 days.
10. Children
If the patient is under 18, enquiries and documents should come from their parents or other legal representatives.
11. Changes to this policy
We may update this policy. The current version is always on this page; the date of the last update is shown at the top.
